Role Description
Position: Bookkeeper
Reports To: Treasurer
Employment Type: Contract. Monthly Stipend.
Status: Estimated 5-6 hours per month
Location: Remote
Organization Overview
Mi Work Matters is a small non-profit dedicated to providing meaningful employment opportunities for individuals with intellectual and developmental disabilities (I/DD). Our programs include the award-winning Anastasia and Katie’s Coffee Shop and other community initiatives in and around Livonia, Michigan. We are growing and seeking a bookkeeper to support our current and future initiatives.
Position Summary
The Bookkeeper will oversee the integrity of our accounting system in collaboration with the Treasurer. This role is crucial in ensuring accurate financial reporting and maintaining organized records. The ideal candidate will possess strong attention to detail, proficiency in QuickBooks Online, and a passion for supporting nonprofit initiatives.
Key Responsibilities
Data Entry & Integrity:
Responsible for all data entry into the accounting system, ensuring the integrity of accounting data in collaboration with the Treasurer.
Expense Management:
Prepare and send a monthly credit card expense spreadsheet for expense classification.
General Ledger Maintenance:
Maintain the general ledger by utilizing classes to categorize and track important data effectively.
Payroll Processing:
Record payroll transactions accurately, ensuring timely processing and compliance.
Transaction Recording:
Record all credit card transactions and relevant banking information with precision.
Budget Management:
Enter yearly budget information into QuickBooks Online as provided by the executive board.
Specific Tasks
Weekly:
Access QuickBooks Online (QBO) and categorize transactions listed under each bank account.
Code checks and deposits accurately.
Code Coffee Shop Square credit card deposits.
Code Coffee Shop cash deposits.
Monthly:
Code credit card transactions for accurate record-keeping (create a copy of transactions, send to the appropriate person to code and then accurately record in Quickbooks).
Post payroll and manual checks to ensure proper financial reporting, code to appropriate classes.
Qualifications:
Proven experience as a bookkeeper within a nonprofit organization.
Strong knowledge of accounting principles and practices.
Proficiency in QuickBooks Online; familiarity with other accounting software is a plus.
Excellent organizational skills and attention to detail.
Ability to manage multiple tasks and deadlines effectively.
Strong communication skills and a collaborative spirit.
Follow industry best practices regarding safeguarding data access and storage, data backups and data retention
Working Conditions:
This position may require some flexibility in hours, especially during month-end closing and budget preparation periods.
Remote work with ability to answer emails during the work day and some evenings.
