Position: Operations Manager
Reports To: Executive Director
Employment Type: Salaried
Salary: $40,000 - $45,000 annually, based on 32-36 hours per week

Organization Overview
Mi Work Matters is a small non-profit dedicated to providing meaningful employment opportunities for individuals with intellectual and developmental disabilities (I/DD). Our programs include the award-winning Anastasia and Katie’s Coffee Shop and other community initiatives in and around Livonia, Michigan. We are seeking an organized and detail-oriented Operations Manager, with a demonstrated commitment to diversity, equity and inclusion, to move our mission forward by efficiently handling daily administrative, financial, and operations tasks. The Operations Manager will support the Executive Director in the day to day operations of the nonprofit and will be responsible for leading the operations at Anastasia and Katie’s Coffee Shop and future ventures, such as additional cafe locations, mobile coffee cart services and more, with the support of an amazing, dedicated team!
Objectives of the Role
Ensure smooth daily operations and administrative tasks for Mi Work Matters.
Support the Executive Director with financial reporting, and organizational efficiency.
Ensure operational efficiencies and financial stability of Anastasia and Katie’s Coffee Shop and future social enterprises.
Collaborate with various stakeholders, including board members, staff, and coffee shop partners, to sustain and grow Mi Work Matters' programs.
All activities are done with the end goal in mind: providing support for our Team Members with I/DD to thrive in their current jobs and beyond.
Contribute to ensuring a diverse, equitable and inclusive work environment where everyone has a voice.
Key Responsibilities
Administrative Tasks
Organize and maintain Google Drive files and paper filing system.
Manage credentials for Mi Work Matters accounts.
Collaborate with the Executive Director and members of the Board of Directors to ensure that legal and financial filings are scheduled and completed on time.
Manage and organize incoming mail, ensuring distribution and filing as needed.
Monitor, organize, and respond to emails in the info@ account.
Support Executive Director and Coffee Shop Manager(s) with future payroll needs.
Financial Management
Prepare donor checks for deposit and manage related documentation (e.g., Bloomerang donor database entries).
Prepare tax acknowledgements and donor thank you notes for Executive Director signature and mail out in a timely fashion.
Create a system to track and ensure payments are made by due dates for subscriptions and vendor payments, including websites, domain names, Bloomerang, and membership dues, storage unit, insurance and other vendors related to nonprofit operations, programs and administration.
Create an invoice and receipt tracking, reporting and filing system in accordance with document retention policy.
Create reports from donation platforms.
Process vendor invoices, prepare checks for Executive Director signature, and mail payments.
Complete light bookkeeping tasks as assigned by the Executive Director.
Review requests for reimbursement, prepare reimbursement checks for Executive Director signature, mail/distribute reimbursement checks.
Coffee Shop/Social Enterprise Operations
Manage the financial health of Coffee Shop and future social enterprises.
Provide financial reports to the Executive Director.
Collaborate with the Coffee Shop Manager(s) to ensure operational efficiencies, including: reviewing Cost of Goods (COGS), managing vendor relationships, evaluating supply needs, sourcing ingredients, ensuring inventory is tracked appropriately, monitoring current staffing levels and establishing future staffing needs.
Oversee management staff at current Coffee Shop and future social enterprises, including hiring, and performance evaluations.
Ensure that the Coffee Shop and future social enterprises deliver on key value propositions, especially related to excellent customer service.
Stay at the forefront of trends in the Coffee Shop and beverage industry.
Develop future menu offerings with efficiency and customer service in mind.
Ensure the staff has the appropriate training to support them in their job duties.
Address and resolve staff conflicts with clear communication and respect.
Lead and participate in team building and staff communications, such as Coffee Shop Team Huddles.
Collaborate with the Coffee Shop Manager(s) to ensure Standard Operating Procedures (SOPs) are implemented on a daily basis and reviewed annually, with updates made as needed.
Collaborate with the Coffee Shop Manager(s) to manage equipment needs including: researching and securing new equipment and ensuring maintenance and repairs are completed in a timely fashion.
Manage social enterprise online marketing related tasks such as: light website updates, managing the Google Business and Yelp accounts (responding to reviews and updating hours for holidays and urgent closures).
Collaborate with the Coffee Shop Manager(s) to secure marketing related materials (e.g., menus, loyalty cards, signage gift cards).
Collaborate with the Coffee Shop Manager(s) to secure, price and maintain appropriate merchandise levels
Recommend and implement Square Point of Sale marketing features, such as email or text marketing.
Make recommendations and create plans to implement future offerings, such as eCommerce and delivery services.
Qualifications
Experience in an operations, administrative, project management or similar role.
Experience in coffee shop, catering or food service operations.
Strong organizational skills and attention to detail.
Strong interpersonal skills and the ability to collaborate across teams.
Commitment to empowering people with I/DD to lead full and self-directed lives.
Commitment to and passion for supporting DEI initiatives and the full societal inclusion of marginalized populations.
Willingness and interest in working with a diverse population while modeling patience, kindness, flexibility and respect.
Proficiency in Google Suite tools (e.g., Drive, Docs, Sheets).
Passion for coffee and excellent customer service.
Preferred Skills
Experience working in a nonprofit or social enterprise environment.
Familiarity with donor management software (e.g., Bloomerang).
Experience managing financial tasks such as accounts payable and receivable.
Compensation & Benefits
$40,000 - $45,000 annually, based on 32-36 hours per week

This is a hybrid position with flexible hours.
A remote work location may typically be an individual’s home, although it may include another remote location that allows the individual to complete their work outside of the office on a semi-regular basis.
Onsite time will be needed regularly at Anastasia and Katie’s Coffee Shop and other locations to assist with oversight.
Working hours may occur during evenings and weekends to support catering and mobile events at local businesses and organizations.
The position may grow in leadership responsibilities as organizational goals are achieved.
Salary and benefit increases will be reviewed following the completion of an annual evaluation.
Paid Time Off and Holiday Pay according to organizational policy.
Professional Development Stipend – Up to $1000 annually for conferences, certifications, and education with prior Executive Director approval.
